Client Brief & Background
The Dr. Ziauddin Ahmed Dental College (ZADC) at Aligarh Muslim University (AMU), established in 1986, stands as one of India's preeminent dental surgery and research institutions. The college publishes the University Journal of Dental Sciences (UJDS), an esteemed peer-reviewed, open-access international journal dedicated to publishing clinical breakthroughs, original surgical investigations, epidemiological surveys, and systematic reviews across all dental subspecialties—including Orthodontics, Oral & Maxillofacial Surgery, Prosthodontics, Periodontics, and Conservative Dentistry.
With an editorial board comprising distinguished professors and researchers across national and international medical institutions, UJDS attracts scholarly submissions from clinicians across South Asia, the Middle East, and Europe. However, the journal's legacy digital installation was plagued by server timeouts, broken metadata endpoints, slow editorial cycle turnaround, and an unbranded interface that fell far short of AMU's storied academic stature. The editorial board commissioned Aligarh Web Solutions to overhaul and modernize their entire journal publishing infrastructure.
The Challenge: Editorial Backlogs, Indexing Failures & Mobile Barriers
Scholarly publishing demands exacting adherence to international digital repository standards. Our architectural audit identified multiple high-severity operational bottlenecks:
-
✓Prolonged Peer-Review Lag: Reviewer invitations and progress notifications frequently stalled due to unauthenticated SMTP relay issues, causing editorial turnaround times to stretch past 180 days per submission.
-
✓Indexing Harvest Incompatibilities: Misconfigured Open Archives Initiative Protocol for Metadata Harvesting (OAI-PMH) endpoints prevented automated harvesters from Google Scholar, DOAJ, and PubMed Central from indexing freshly published volumes.
-
✓Manual Crossref DOI Deposit Overhead: Journal staff were manually copying article metadata into Crossref web forms to generate Digital Object Identifiers (DOIs)—an error-prone procedure requiring dozens of manual hours per issue.
-
✓Substandard Mobile Reader Experience: With over 60% of modern academic citations initiated on mobile smartphones and tablets, the journal's desktop-only layout caused broken tables, clipping figures, and sluggish full-text PDF rendering.
Solution & Design Rationale
We engineered a modern, enterprise-grade publishing environment built on PKP's Open Journal Systems (OJS 3.3 LTS), custom-tailored to AMU's institutional standards.
Institutional Academic Visual Identity
We developed a bespoke responsive OJS theme reflecting AMU's prestigious academic heritage. Utilizing deep navy blue (#002040) paired with regal academic gold (#c8a820) and crisp white cards, the design provides an authoritative, scholarly aesthetic. High-contrast typography pairs serif headings (Merriweather) with ultra-legible sans-serif body text (Inter), maximizing readability for dense clinical abstracts and statistical figures.
Automated Crossref DOI & OAI-PMH Pipeline
We configured real-time Crossref XML generation and automated batch deposition. Each published article automatically receives a globally registered, resolvable DOI (`10.xxxx/ujds...`) within minutes of publication. Furthermore, we audited and re-indexed the journal's OAI-PMH 2.0 repository feeds, restoring automatic metadata harvesting for Google Scholar, DOAJ, and university library discovery catalogs.
Streamlined Double-Blind Review Workflows
We restructured the five-stage OJS editorial workflow: Submission Screening, Double-Blind Peer Review, Author Revisions, Copyediting & Proofreading, and Volume Galley Assembly. Automated scheduled reminder triggers were deployed to alert reviewers at 7-day, 14-day, and 21-day milestones, drastically reducing reviewer drop-off.
Technical Architecture & Stack
To ensure high availability, data preservation, and rigorous security for sensitive unpublished manuscripts, we deployed a specialized server architecture:

Quantified Results & Scholarly Impact
Following the deployment of the modernized OJS infrastructure, UJDS witnessed remarkable improvements across all editorial and readership indices:
Automated Crossref DOI deposit eliminated over 40 hours of manual data entry per issue, freeing the editorial board to focus purely on scientific peer evaluation and manuscript curation.
"Aligarh Web Solutions brought true international publishing rigor to the University Journal of Dental Sciences. Their comprehensive understanding of Open Journal Systems architecture, Crossref DOI automation, and Google Scholar harvesting resolved issues that had troubled our editorial office for years. Our reviewers love the streamlined interface, and our journal's global citation metrics have climbed dramatically."
